Avoid Conflicts of Interest

Avoid Conflicts of Interest

Financial institutions, especially investment banks & securities firms, are required to adopt Information Barriers, safeguard insider information, and ensure improper trading does not occur.

Block conflict parties exchanging emails with each other

TSECM allows corporations to centralize email management. Corporations can present rules for parties of interest conflicts to control their email flows without alerting individual users.

Once the monitoring teams would like to exchange emails, TSECM will immediately stop the illegitimate email from the backend, alerting the Compliance team and the team heads, who are allows to review the email content from TSECM for further handling.

Restrict interns from sending external emails

Most of the organizations join internship programs and welcome a number of interns joining every year. The organization provides opportunities for interns to gain job experience, but they also need to protect themselves from data leakage.

TSECM can restrict those selected staff from sending external emails by monitoring their email flow, blocking the external email from the sender.

Prevent staff from sending emails to personal email

Besides temporary staff, some organizations, especially financial institutes, are sensitive to data protection policies. To prevent staff from taking confidential data out of the office environment, organizations will block internal staff from sending/ forwarding corporate emails to personal emails address.

eStatemet Delivery Compliance

eStatement Delivery Compliance

Instead of sending letters, more and more government departments notify people via emails post-COVID-19. Predictably, there will be quite a lot of people in the database who are not able to reach via their submitted email addresses. To ensure people can receive the eStatement, TSECM can direct those undeliverable emails from the server for the entire department to a separate database, pending your further analysis.

Outgoing email approval

Outgoing email approval

TSECM provide a complete email flow for email approval. Many organizations enjoy using this function before releasing notices or reviewing new joiners' emails.

Release notices before release

TSECM filters preset keywords on email subjects. Once the keyword (e.g. Notice) is detected, TSECM will hold this email in the system and notify the relative approver(s) to review.

Review new joiners’ emails before sending

Similar to release notices, TSECM monitors new joiners’ email conversations with their email addresses. Once new joiners send external emails, TSECM automatically holds all emails in the system, pending for the line manager’s approval.

Ensure confidential emails go to the right-hand

Ensure confidential emails go to the right-hand

Hospitals offer a wide range of medical services, with a team of in-house and affiliated medical professionals. However, email communication between these medical professionals can potentially lead to a breach of confidential patient information and subsequent legal liabilities if they are allowed to read confidential emails outside the hospitals’ protected environment.

Sending email as link – keep confidential information in your own mailing server

TSECM can secure all confidential email communication in compliance with GDPR by keeping all email communication in the hospital email portal. Affiliated medical professionals are required to login to TSECM to view the confidential email.

Sending large file size attachments as link

Sending large file size attachments as link

Normally, we need to limit the attachment size to ensure the stability of our mail server. Staff usually release the file limitation after receiving the email sending error but without mentioning the maximum file size.

TSECM allows you to send large files by passing the maximum attachment size.

Your file will be automatically uploaded and stored in the TSECM file database, where it will be transformed into a download link. Your receiver can then download the attachment directly.

TSECM also allows you to set the expiry date for the email and attachment. You can always view the sent email on the system portal. After the expiry date, the email content, along with the attachment, is not allowed to be opened.

All outbound emails are protected by Digital Right Management, which allows permission control such as read-only, prevent printing, etc.

Auto forward email

Most of the team's automated round-robin distribution also enjoys the auto forward function to ease audit purposes. Auto forward supports making a copy for all emails to the team’s mailbox, not only creating a case database to keep team members posted on each case's working process, following up with different colleagues, and providing a full backup for the year-end audit.

Efficient Distribution and Unified Email Branding for Customer Support

Managing customer support emails effectively requires timely responses and professional consistency.

TSECM is able to address incoming emails to your customer support automatically and distribute them among the team members evenly with a round-robin system, ensuring each representative receives a fair share of the workload, promoting faster responses and higher team efficiency.

Additionally, to maintain a consistent and professional appearance, TSECM can replace each support team member’s sender address with a standardized, public-facing support email (e.g., support@company.com).

Through automated distribution and unified sender address management, this solution streamlines email handling, enhances brand consistency, and simplifies operational management of customer communications.

Automatic Domain Update for Emails Following Company Restructure

Updating email domains for all communications becomes essential to maintain consistent branding and seamless communication when a company is acquired or merged. In this scenario, TSECM can automatically adjust email domains for both senders and recipients according to the pre-configured policies that reflect the new corporate structure.

When an email is sent or received, TSECM will transform the old company domain into the newly established domain (e.g., from user@oldcompany.com to user@newcompany.com) at the gateway.

This automated process not only preserves email continuity, prevents confusion or miscommunication, and also helps swiftly integrate employees into the new organizational environment without requiring manual intervention.

Automatic Email Domain Update for Subsidiary Integration

When integrating subsidiaries into a parent organization, standardizing email communication is crucial to ensure consistent branding and seamless interactions across all business units.

In this scenario, the system automatically updates the email domains of senders and recipients, replacing subsidiary-specific domains with the parent company's unified corporate domain (e.g., changing from user@subsidiary.com to user@parentcompany.com).

By automating this transition, the organization simplifies email management, maintains professional consistency, and ensures uninterrupted communication internally and externally. This approach helps rapidly integrate subsidiary staff into the central corporate environment, reduces administrative overhead, and minimizes the risk of confusion or misdirected messages during the integration process.

Daily Email Sending Limits for Specified Users

Organizations often need to control outbound email traffic to mitigate risk, prevent accidental data leaks, and ensure compliance with internal or external regulations.

Administrators are allowed to configure daily sending limits for specific users or groups using TSECM, e.g. 100 emails per day. The system will then monitor the number of outgoing emails from the users or groups, and restrict further outgoing emails when the limit is reached.

At the same time, administrators can retain complete visibility and adjust thresholds or permissions as required, ensuring flexibility alongside robust compliance.

This automated control ensures users remain within safe and compliant email-sending boundaries, helps reduce the risk of data breaches or misuse, and encourages thoughtful and efficient use of email resources.
